Invite Exteral Examiner (two months prior to exam)
- supervisor are responsible for selecting an external examiner and providing the following information to the Graduate Program Administrator at least two months in advance:
- name and current position of external examiner
- department which they belong to
- Institution & mailing address
- indicate the external will be a reader, attend the examination in person or participate via teleconference
- indicate the number of doctoral students supervised (previous and current)
- indicate the number of final doctoral examining committees served on
- if the external does not have a doctoral degree, explain why he/she is an appropriate external
- indicate if the department, student or supervisor has had any association with the proposed external in the last six years, if yes describe
- a copy of the external examiner's most recent CV
- funding for the external examiner should be sought out to cover the cost of bringing in ther examiner; options are as follows: 1. apply for external funding through FGSR (contact Graduate Program Administrator), 2. supervisor grant funded, 3. department.
Preliminary Acceptance of Thesis (5 weeks prior to exam)
- students must forward a copy of their thesis to the supervisory committee 5 week prior to the final oral exam
- before the thesis is forwarded to the external examiner, PhD supervisory committee members shall declare in writing to the that the thesis is of adequate substance (and quality) to warrant that the student proceed to the final examination or that the thesis is unsatisfactory and the student should not be allowed to proceed to the final oral examination
- this declaration is the "Premliminary Acceptance of Thesis", which should be forwarded to the Graduate Program Administrator.
At least four weeks prior to the final oral examination:
At least three weeks prior to the final oral examination:
- supervisors are responsible for properly arranging the examining committee and date for the student's final oral examination, and the exam is scheduled and held in accordance with Faculty of Graduate Studies and Research regulations
- forward the date and examining committee to the Graduate Program Contact (Tara Checknita), arrangements for a room will be made, forms completed and sent to FGSR
- the Graduate Program Contact will complete the Thesis Approval/ Program Completion form and supply to the committee at the final oral exam
Note: it is important to have arrangements made so that there is adequet time allowed for processing, FGSR does not allow any late forms.
